GENERAL RESPONSIBILITIES________________________________________________________________
The Project Coordinator is primarily responsible for assisting the Project Director in implementing, coordinating, tracking, and/or performing the activities of one or more grant awarded projects. The end goal is to meet the goals and outcomes of the project(s) within the budget boundaries, and in accordance with the various applicable protocols, guidelines, and laws.
WORK SUMMARY_______________________________________________________________________
Essential Duties:
1. Obtain, review, and become very familiar with copies of all documents related to awarded grant, including but not limited to, all pages of the grant application (narrative, budget, evaluation plan, timeline, MOU’s, attachments) the official notice of award (NOGA, NOA).
2. Develop, schedule, and prioritize activities with the intention of completing all aspects of the funder approved scope of work.
3. Assist Project Director with any changes in the scope of work and/or budget, and a no cost extension request.
4. Assist Project Director in making sure the evaluation tools are developed in conjunction with each activity so as to gather the appropriate data to determine if the goals and outcomes are being met.
5. Make sure the data collection tools are schedule appropriately to be distributed, collected, collated, calculated in a timely manner; and the information is made available to the evaluator.
6. Provide written draft of applicable sections of a funder required progress report as requested.
7. Assist the Project Director in developing and publicizing an RFP if required for procurement, track responses, and notify the winning bidder.
8. Provide an initial review of the draft of the vendors and outside service providers’ contracts and/or MOU’s, prior to submitting to the Project Director and Executive Director for review and signature.
9. Assist the Project Director in reviewing and tracking the services provided by outside vendors and notify the Project Director of any concerns and/or deficiencies; assist in preparing for and executing a vendor audit.
10. Work as the liaison to Human Resources for notifying and coordinating any hiring required for a new grant award and during the project management in the case of turnover. Assist HR and the Project Director in on-boarding staff to become familiar with CBI protocols, the awarded grant(s), and their role and activities in relation to the grant(s)’ scope of work.
11. Make sure that copies of all important documents are made and maintained by partner agencies, grant staff, and others.
12. Assist with the development of forms and registration of participants and recipients of services.
13. Assist the Project Director with outreach, marketing, event scheduling, and public relations.
14. Provide coordination of special events and management of staff and activities the day of the event.
15. Serve on CBI’s Breakfast of Champions committee as requested by the Project Director keeping in mind potential sustainability activities and/or funding that may extend the project’s primary activities.
16. Assist the Project Director in preparing and/or provide them with the information to update the MOM’s report monthly.
17. Develop requests for supplies and other expenses related to the awarded grant project for approval by the Project Director. Assist in making sure the requests are then submitted to management and Finance for approval.
18. Review expense and budget reports on a regular basis; note any concerns to Project Director.
19. Assist Project Director in gathering of documents and information for any type of audit, such as a funder site visit or audit, and a CPA directed audit.
20. Attend trainings, webinars, and conferences as requested by Progress Director.
21. Attend all staff meetings as requested by the Project Director
22. Perform other duties as assigned or requested by the Project Director
• Minimum of a bachelor’s degree.
• Minimum 2 years’ experience one or more areas: Social service programming and/or management, project coordination, scheduling multi-tasks, marketing, grant coordination and/or management, contract management, community networking, and federal grant application grant writing, management, or evaluation.
• Working with indigenous communities and/or speaking, writing, understanding Navajo language a plus.
• Training and/or experience in understanding and applying principles of federal guidelines, in particular the 2 CFR 200 as plus.
• Possess valid authorization to work in the United States.
• Possession of a current Driver’s License with a satisfactory driving record.
• Experience and skilled in the use of general office equipment, including calculator, copy machine, printer, and computers.
• Experience and skilled in using Microsoft Office: Word, Excel, Outlook, PowerPoint, etc.
